Do you feel that you have too much, not enough or is it just right? Some people feel as though they have too much time. They are bored and let it tick away. Others feel that they have too little time; they feel pressured and hurried, as though there are too many demands placed upon them.
In workshops when I ask this question, of all the managers, sporting professionals, homemakers, and students, probably about 1 percent replies that they have enough time.
This is interesting because when you think about it, the supply of time has never been better or more equal. Regardless of your age or your job, you have as much time as everybody else.
This highlights a paradox of time management. Time management is not about creating more time (as time marches on at a fixed pace) but rather how to manage your life with respect to the time that we have.
So time management is really about life management. Managing your life within the time period allocated. This raises the stakes of time management from the idea of “to do” lists to one that is of critical importance — your life effectiveness.
This is echoed in the famous words of Benjamin Franklin “Dost thou love life? Then do not squander time, for it is the stuff life is made of.”
I believe that time management is fundamental to a meaningful and successful life. By prioritizing and focusing on what is important to you — for many this will be our family, friends, work, personal development and spirituality; we spend our time in a meaningful and effective manner.

Time management says, “It is time you can manage.” Is it time? Is it you?
Or the clock you find savage? Meet John.
He just finished his first time management class. So proud of his findings — time mastered at last!
John questioned himself, “Why am I always so busy?” “It is time! That’s the problem!”
Or is John simply dizzy? Time Management craze… he’s found his new daze…
Time Management daze… it’s the rage and craze… “Tick Tock,” says the clock as John panics and shouts! “It’s the clock! That’s the problem!”
Was there ever a doubt? “Tick Tock” “Make it stop! I am late once again!” “Time management?” you ask? “John’s enemy or friend?
” Hey John… “What’s your hurry in the big scheme of things?” “Take some time from your day and hear the birds sing.”
But the birds can’t be heard ‘cause John’s telephone rings… Then John gives the look, “There are birds? And they sing?”
John never had time for the birds in his flurry. With so much to do, John’s life becomes blurry.
Time Management craze… he’s found his new daze… Time Management daze… it’s the rage and craze… “Tick Tock,” says the clock to remind John to go faster.
“I’ve got deadlines to meet! I’ve got projects to master!” Is John living a life or is life his disaster?
How would John ever know? He’s made lists to go faster.
But the faster John goes, the more time that he takes.
He is late once again and he makes more mistakes. John runs ‘round in circles… he starts missing some dates.
Time management? The clock? Too much on his plate?
Meet Jane. She is waiting. John is late for their date. If time can be managed, “How could John be so late?”
John calls Jane to tell her he is “running behind.” He missed placed his car keys. …impossible to find.
But the sound in Jane’s voice says she simply can’t wait. “Will you hurry you asshole! Our reservations are at eight!”

“Yeah, I’ll hurry you witch!” as John hastens his gait. Is it love? Is it time? Is it stress? Is it hate?

Jane misses the message. She’s boiling with pride. But then the call comes telling Jane of the news. “Your dinner guest is gone. His days are now through.”
Time management’s wonder? Or Time management’s blunder? Time management’s imp, which had stolen life’s wonder?
Jane drops to her knees. Pain screams from inside. Her heart is so broken. Her tears she can’t hide.
Her pride turns to anguish. Just a little too late. Was it really important? Could Jane really not wait?
Your clock starts its ticking at the day of your birth, Is it time? Or the clock? Or just a day here on earth?
With each moment that passes you are given a gift. Do you squander these treasures? Has your boat gone adrift?
Here’s a mystery to solve if you’re into the game. How can time be so different, when the clock is the same?
When you’re out having fun time is never enough. When at work counting widgets time creeps through the rough.
Is it time? Is it widgets? Is it the thrill of the chase? Is it fun? Is it misery? Is it time management’s pace?
Here’s an idea for you as you go through the maze. It’s the energy you choose which can bring joy to your daze.

Simply stated, time management is to handle time with a degree of skill. Skills are not innate but can be learned. By following the five simple steps below, you can learn to skillfully handle your time both efficiently and effectively.
STEP 1: Inventory your time. Before you can begin to learn how to manage your time wisely, you must first determine where you are spending it. Taking an inventory of your time can do just that.
There are certain things that all of us must do daily, weekly, or even monthly. Make a list of basic activities on which you spend your time, such as, sleeping, eating, working, leisure activities, family, finances, household, etc. Keep a time diary for a month, noting approximately how much time you spend on each of these activities per day, per week, or per month.
STEP 2: Identify time wasters. Often times, we are unaware of just how much time is lost during our day because of time wasters. By taking an inventory of your time, you will be able to identify those things that are less important than others but seem to constantly take priority.
In addition to the activity categories suggested in Step 1, you may want to include an extra category called *time wasters.* Make a note in your time diary of those things that take up a good chunk of your time but are not really necessary, such as surfing the Internet for hours, too much television, or excessive socializing at work.
STEP 3: Keep a TO DO list. In order to be able to determine priority of certain tasks, and to avoid becoming a constant victim of time wasters, a TO DO list can be extremely helpful.
I like to categorize mine, instead of simply writing down a list of things to do and numbering them randomly. Category A is for vital things, such as paying the bills on payday. Category B is for important activities but those may not have a particular date associated with them, such as grocery shopping. Finally, I have Category C for low-priority items that I would like to get to eventually, such as cleaning out the garage.
Regardless of how you decide to structure your TO DO list, keeping the list and making sure it stays up-to-date can assist you greatly in managing your time efficiently.
STEP 4: Budget your time. Budgeting your time goes hand-in-hand with the TO DO list and the time inventory, and it helps you establish priorities.
Develop a budget of your time similar to how you would budget your finances by creating a chart based on the same activity categories you used for your time inventory. Determine how many hours you should be spending on each activity by reviewing the actual hours spent per task that you recorded in your time diary. Based on your actual hours, decide what is reasonable, and note that on your time budget.
STEP 5: Plan your calendar. To pull it all together, the final step is to plan your calendar. Keep it realistic by not overloading yourself with too many activities and events in one day, or even one week. This can be accomplished by comparing your TO DO list with your time budget. Recognizing that there will be the occasional time waster that will find its way into your day, be sure to keep an hour or two open for those and for unexpected interruptions.
These 5 steps are not a cure-all to an overloaded calendar or numerous time wasters, but they can get you headed in the right direction to solving your time management ills.

You’re answering a voice mail message when you get a notice that a text message has arrived. Sitting in front of your computer, your mail icon indicates receipt of a new email while your IM screen pops open. What to respond to first? Is this a typical day? Unfortunately, most likely it is.
As we struggle to stay up with the various communication options available, many people feel they are wasting more time than they are saving, due to constant interruptions. Technology creates immediacy. Before we decide to stomp on our cell phone or smash the computer, let’s look at some ways to incorporate a little structure, letting the technology work for us instead of against us.
VOICE MAIL
Be sure that your voice mail message asks for the caller to leave a detailed message. That should be a given, but how often do you get a message that says, “Hi. Give me a call; I have a question.”? So you call back, and they aren’t available. You can’t leave a response because you don’t know why you’re calling. So the phone tag begins. If they had stated the question, you could have called back with the answer and most likely the process would have ended at that point.
When you are leaving a message, give enough detail that the person can properly. If information must be researched first, they will complete that task before responding, again saving both of you a lot of call-backs and getting nothing accomplished.
Make it a habit to return calls on the same business day if at all possible. If someone is waiting for your answer, it is courteous and professional to get back with them as soon as possible. If you have a policy of response time, state it in our voice mail message so the caller will know when to expect to hear from you…within 24 hours, the next business day, etc.
EMAIL
Here is a scenario that happens consistently with most everyone I know: You are working at your desk and the little envelope appears, or your computer ‘dings’ (or both). Mail has arrived. Hurry up and check it! This interruption can take just a minute, or enough of them can consume your day. If you just can’t ignore these notifications, turn off the audio and the envelope icon.
I’ve heard from business associates that they read their emails only 2 or 3 times a day. Some choose first thing in the morning and after lunch. Others check their mail mid-morning, after lunch and mid-afternoon. Their theory is that waiting until mid-morning rather than reading emails right away allows them to address immediate needs before attending to the emails, plus they’ll still have time to answer this correspondence before lunch, providing a timely response.
Try a few different times and see what works best for you. Reading and responding to emails in blocks rather than continually throughout the day will prevent a lot of interruptions and provide for a more focused work day. I heard at a seminar years ago that each interruption causes a loss of 15-30 minutes before you’re back functioning at the level you had achieved prior to the break in concentration. Think of how many times your email causes this!
Another of my articles, titled “24 Hours A Day Is All We Get”, discusses handling interruptions and the 3-options process. We can do the same with email — throw it away (delete), file it (save to a folder for future reference) or answer it (then file it or delete it).
NEWSLETTERS
Email newsletters arrive daily. Some are extremely educational, others informational, and still others just a nuisance. You have total control over this, and it’s as easy as clicking “Unsubscribe” to the email newsletters you have no interest in receiving.
I receive a lot of newsletters from fellow members of Rainmakers, a networking organization (www.gorainmakers.com). I like to get them because it’s a quick, monthly reminder to refer business to them, and it helps me stay up with changes in their businesses, new products, new employees, etc. I will scan the headlines, and if nothing draws my interest, I delete it, at a cost of less than a minute of my time. If there is an item of interest, I choose to take the time to review the article.
Try these suggestions; you’ll have a more focused, productive and time-efficient day.

Imagine: You’re right in the middle of the day’s most important task - completely focused, giving it your all - when, “RING!” the phone jolts you out of concentration. You’re needed at a last-minute meeting - right now! You begin frantically searching through the stack of papers on your desk for the one you need to bring, when your co-worker pops his head in your door and starts rattling on about last night’s game. And, with a sigh, you realize that you may as well call it quits on that important project for today - your time and focus have been zapped. These types of time drains are subtle but strong. But if you pay attention to what is pulling your focus and wasting your time, you can zap your time-zappers!
One of the most common culprits for losing focus and time is the phone. You need to regard the phone as a servant, not a tyrant that must be answered. Do not be afraid to ignore it completely if you are engaged in a task that requires your full concentration. Better yet, when you have set aside time to plan, read, or think over an important issue, turn off the phone. Then turn everything back to normal when your time is done. Make sure you use your call options, such as automatic dialing, answering machine, speaker phone, caller ID, call waiting, and so on. Before you make a call, write down points you intend to make. Then after the greetings, proceed directly to the reason for your call. Others will appreciate your consideration of their time and will, in turn, respect yours.
The same principle applies for meetings - when you schedule them with respect for other people’s time, they will be more likely to follow suit. First, schedule a meeting because it is needed, not because it is Tuesday. Ask yourself, “Is this meeting necessary?” It is only if there is a need for personal interaction. Consider these alternatives to meetings: an email or memo to make announcements, a request for information to be supplied, or a telephone conference call. If a meeting really is necessary, then plan ahead to conserve time and energy in the meeting. Well in advance, notify participants of the time, place, and purpose of the meeting. Distribute copies of the agenda, and assign any special participation required. Finally, make time count in the meeting:
·Follow the announced agenda
·Begin with the most important ideas and leave routine items to the end
·Excuse participants when items that concern them are completed
·Settle each item on the agenda
·Make needed assignments for follow-up action
·Set a date and method for reporting
If you ever feel that you are floundering in a never-ending mass of paper or emails, a little attention to organization and attitudes will rescue you. An uncluttered work area - and an uncluttered inbox - is conducive to efficiency. Set a regular time in your daily schedule for handling correspondence, such as incoming mail and e-mails. Organize your desk and your e-mail inbox by creating folders in which to store important papers and e-mails, and ask to be removed from mailing or e-mailing lists of anything you don’t want to read. Set a goal to handle each piece of paper and each e-mail only once - make a final disposition of each item that arrives in your physical or electronic inbox. Organize mail and e-mail in these categories:
· Imperative - items that must receive your attention today
· Important - items you should attend t within the next two or three days
· Other - anything of less importance that you can handle whenever you have time
Of course, during the workday, some interruptions are inevitable and even desirable. You need contact with others, and some drop-in visitors have errands that merit your attention. But a drop-in visitor with a little time to kill can upset your schedule and set you up for time frustration for the remainder of the day. Discourage interruptions by planning your day around a regular schedule and publicizing it to those you work with. Let co-workers know the times when interruptions will not seriously disturb your work. When a drop-in visitor threatens to zap your time, use appropriate body language to indicate that you prefer not to interrupt your work:
· Remain seated at your desk in a working position with papers or pen in hand
· Meet the visitor at your door or in the reception room and do not return to your office with the visitor
· Rise when a visitor comes in and remain standing
