Effective time management serves us well at any stage of life, and using time wisely is a skill that is vital to achievement in just about every significant endeavor. For the businessperson or entrepreneur, success may well hinge upon avoiding distractions and interruptions that prevent effective time use. We all have the same number of hours in the day, and how we use those hours determines our effectiveness. This article offers you ways to make good use of those hours, and contains practical tips you can put to work right away.

We should fully be aware of our surroundings for us to know and curb the source of interruption; especially so in our offices. Curbing or removing just doesn’t apply to things around us, but also to the humans who may be present and may be a source of distraction. It is easy for a thing which is the distracting source to be removed from our surroundings. When it comes to removing human beings, it is not just removing at that instance, but making them understand; how inconvenience you are put to, with their distracting movements or sounds. The same does not apply to a home business where, the distractors are own family members, including the kids. Since you can never think of removing a family member, you have to think of a permanent fix to make the family member realize and prevent distracting the surroundings.

Then, you must to take steps that anticipate different situations so your company runs efficiently. When employees are involved, you must realize that other people’s time is also important; you would do well to ensure that your employees also make effective use of their time. The simple reality is that , poor preparation and strategy routinely result in interruptions

The basic organization of your business should be set in a way that encourages efficient use of time. For example, any employees should have all the means by which they will complete their work. Assigning a task an employee is not prepared to do will only encourage inefficient usage of time as he scrambles for help or additional resources. He may even come to you for help. Structuring your business to run smoothly also means solving problems before they begin. You need to foresee any potential problems that might interrupt your work before they happen. If you do that, you will minimize the likelihood that an “unforeseen event” will interrupt you.

The third point to remember is to keep your business focused. In effect, to achieve the ultimate aim of maximizing your organizations profitability, you must focus on those aspects of the business which matter the most for achievement of this goal, such as marketing, purchase of stores and product development, if yours is a large business house or on the various simple tasks in the case of a small scale business. After the crux thrust points are identified, and plans for handling them are put in place, it will become simple to focus on the key tasks with ease and minimal effort.

Time Thieves

Making time for ourselves is often one of the biggest hurdles we face. Notice that I don’t say ‘Finding Time.” That implies it’s lost and it’s not. It’s there, right in your hand, ready to be used. The problem is your Time Thieves pluck it away.

What’s a Time Thief? I’ll bet you’re surrounded by them. Email is one of mine. A big hairy one.

I can’t count how often I’ve sat down to write an article or work on a new product and thought “I’ll just check my email first.” Next thing I know it’s two hours later and my own plans to write or work on my business went up in e-smoke. I finally came to the realisation that I was letting my schedule be dictated by others. Now I only check email twice a day after I’ve done what I committed to do for myself.

So what are some of your Time Thieves? Make a list. Add to it whenever you spot a new one. Where do you let yourself get distracted? What is it about that activity that calls to you, seduces you? Could you let it go, at least for a little while? (After all, the kids still need to get fed.)

The point is to become aware of your Time Thieves so they can’t sneak up on you. When you’re taken by surprise it’s hard to fight back. Even with mindfulness you may still fall victim to a Time Thief so don’t beat yourself up about it. Thieves are like that. Sneaky. Just when you think you’ve got one licked, it finds a new disguise and creeps back in. The trick is to be guarding the gate so they can’t just stroll in and clean you out.

In the end, it all boils down to you. No one else will care as much as you about making time for what’s important to you. Especially if it inconveniences them. So stop waiting for someone to give you the time. Stop trying to find it. Take the time you need.

And in case you think you have to protect great swathes of time and that I’m being totally unrealistic, think about this - if you only took fifteen minutes a day for a project that feeds your soul, at the end of a year you will have accumulated 90 hours of quality time.

One of my clients interrupts her regular day to write for just ten minutes, three times a day. It’s a small change but it’s paying big dividends for her. She can feel her priorities shifting. She wouldn’t skip that time anymore than she’d skip a meal and it didn’t require a huge change on her part -just a little mindfulness.

It’s up to you. If you don’t do anything it will still be a year later. Wouldn’t you rather have something to show for it?

Taking Back Control Of Your Time

What Takes Up Your Time?

The first thing to do is to discover and label what stops you from completing tasks that require your attention. Some will immediately spring to mind like the telephone or emails, but the only way to really understand this is to monitor at least one full day at work, or if possible several. If you work closely with a colleague you can ask them to record this for you as you may well miss some interruptions (intentionally or not). We know people who have monitored their day and been amazed how much time one matter took up of their working day - 3 hours reading emails is a lot of lost working time!

Common time sappers include:

The telephone
Personal Visits to you
Personal visits by you
Kitchen visits
Emails
Meetings
Browsing the web
Inability to find information when you need it (the messy desk syndrome)
Firefighting

Managing Your Time Sappers

Personal Visits

If you find a lot of interruptions are people visiting you, can you manage these people better? If it is members of your team coming with minor problems, can they save them up and see you at a set time each day? If it is general visits that you cannot manage in this way can you limit them to a very short period of time, explaining at the end of that time that you have some urgent matter to attend to?

If the personal visits are made by you, are they essential or urgent? Ask yourself before you leave your desk whether you can deal with the visit on the telephone instead of in person, or can it be avoided all together by sending an email? Managing time on personal visits can save you considerable time over the course of a week or month.

Emails/Web Browsing

If you discover that you spend too much time reading emails, you need to manage your time better. If you currently check emails as soon as they appear but do not strictly need to, why not set an hourly reminder to check emails and only read them when that alarm rings. Turn off the new email notification, set your alarm for the next hour and then make really good use of the time before your next email check!

Tea/Coffee Fiends

If you make coffee or tea whenever you feel like it, the next time you are thinking of making one why not set yourself a target eg “I will finish doing x before I make the next cup of tea”. You will feel much better making the drink once you have hit your target!

Messy Desks

Most of us know that we work better with a clear desk. Those that say otherwise may have spent years convincing themselves that a messy desk works for them but they know that really a clearer desk would make finding information much less stressful. If you carry out the exercise of recording the time spent during your day if you have a messy desk you will soon see the wasted time adding up. Getting into the discipline of clearing your desk every night will make each following day far more effective.

Firefighting

If you find a lot of your day is spent firefighting — ie dealing with urgent matters that must be attended to immediately this is often a sign that you have failed to prioritise your current workload. At the start of each day you should assess what you need to attend to, estimate a time for the task and then prioritise each task. If you have several small tasks that will only take a few minutes you might decide to attend to them first so that you can tick several items off your list. However, you should only do this if doing so will not cause another task to blow up and then need your firefighting skills.

Summary

Your time can be sapped by many different items. Identifying your main offenders allows you to effectively plan to lessen the time they sap from your day. If you continually manage your time better by planning your day you will continually achieve more, enjoy your working day more and generally be both financially and mentally better off.

Using Your Mind To Get Wealthy

Knowledge is the most powerful ally anyone can have in the search for wealth. Knowing what is needed will see you through the situation like no other substitute. Not having to bluff or fly by the seat of your pants is much more effective than having to. When you know all the right information you will be taken far, no matter what endeavor you are pursuing.

To gain information we read and reread books and articles on the subject. Depending on the subject, there could be a lot of information that must be waded through in order to become an expert. This means you must invest a lot of time and effort before you are an expert.

Or you can work for years at a job in the field to gain the knowledge of the subject you wish to become an expert in. Once again you will be spending a lot of time and effort while you are getting to the ultimate destination.

All the while you wait and wait. You don’t feel you have the knowledge needed to pursue what you really want to be doing, but what else can you do? After all you have to know what you’re talking about before you will be recognized for your expertise.

If only there was a way to get the information into your brain faster. With your current method of learning you have to read and reread at 250 words per minute. You will only retain 50% of what you read and lose 90% of that, 48 hours later.

There is however a system available that will let you read 25,000 words per minute at the very least and the kicker is you will retain 90 to 100% of the information for life. I know what you’re thinking, but this is for real and it’s been tested on hundreds of thousands of people over the past 33 years.

Germany’s Bid For Solar Excellence Scuppered By Upstart Geothermal?

In 1991, a quiet but effective revolution began in Germany. It consisted of 5 paragraphs and didn’t even provide any future promises (or funding), but it gave something to the average citizen that he didn’t have before…commercial access to the grid. The law was entitled Stromeinspeisungsgesetz (commonly known in the US as the Energy Feed-in Law). From 1991, all suppliers of electricity, including private citizens, were granted access to the electrical grid and, by law, would be compensated at an unprecedented premium for all energy sent into the network. By far, the highest commissions were paid to the suppliers of solar power, starting a race to go solar in Deutschland.

The law was revised in 2000 and now called the Renewable Energy Sources Act to include energy supplied by geothermal derivations such as geysers, natural steam, geopressurized reservoirs, etc. Perhaps not something the average person has access to, but certainly of interest on a corporate level. Ironically, most geothermal energy is not very “renewable” as it is mined faster that it can regenerate, but it is clean and efficient. There is no mistaking that this addition was added, in fact, to attract new business to the clean energy market. More importantly, the 2000 version set a time frame for new investors to 20 years. What that achieved was the insurance and reassurance that people needed before such a huge commitment to their individual projects. On the negative side, the 20 years came with decreased tariffs over time. Why decrease the tariffs? Simply put, the government had set a ceiling of 5 by 2010 and enable green electricity to become 10 of total energy was green energy.

In keeping with the EU’s standard of “frequent performance review,” the law was once again revised in 2004. This time, no great name change. It became the 2004 Renewable Energy Sources Act. Since reaching goals set in 2000 so early, this revision raises to bar to 27 in 2009 and 2010 and then 9 reduction in compensation in 2009 and 2010 (a decrease of 3.5%). Wind energy promotion is the focus of the latest revisions set forth by the governing body. So, is wind the new King of Renewables? Solar power is perhaps less heavily promoted than in the past, but one must see that as a sign of success of the program. Falling subsidies indicate that the industry is healthy and has less need for gross promotion. Is wind the next “big thing” in Germany? Don’t count out geothermals just yet. Although the “renewability” of geothermal power is in debate, geothermal drilling goes on and was given an early boost in 2000 and further support in 2004. There are currently 150 geothermal plants in the development stage held back at the moment due to the cost of the drilling equipment necessary. Not to be daunted, German manufacturing plants are expanding drill production for the sector. Six geothermal plants are in the process of opening this year (2009) and into 2010.

So, what does this mean for the rest of us? Well, look at it this way. A country with relatively moderate sun exposure and no volcanic activity in 7,500 years is actually a leader in producing solar power and geothermal energy. To say that Germany is inspiring is a vast understatement. If the U.S. made a serious attempt to duplicate Germany’s success, the impact on the environment would be staggering. U.S. representative Jay Inslee from Washington state introduced the Renewable Energy Jobs and Security Act in June of 2008, but it stalled. On a brighter note, Gainesville, FL just passed a law (March 2009) to compensate providers of solar electricity at a premium rate through net metering. City officials passed this bill unanimously after studying the success in Germany. Hawaii isn’t far behind and will likely have a similar plan in effect by the end of the year. I think that this is how we are going to achieve results in the U.S.: one state at a time until the job is done.
