POSEC stands for Prioritizing by Organizing, Streamlining, Economizing and Contributing. The main way to do this is by taking a closer look at what you must do on a daily basis, and figuring out the best way to manage these tasks.
The POSEC method enables you to dissect your goals and tasks into small projects. It enables you to prioritize things because accomplishing your individual tasks well will make the rest of your goals easier to attain. While, for some people the POSEC method may work quite well, for others it may not.
The method or school of time management known by the acronym POSEC provides rules for assisting people to organize their goals by level of importance and priority. Correctly carrying out this method leads to upward movement on the “Needs Hierarchy” developed by Maslow.
The measures which follow comprise of the POSEC method of managing time.
Prioritize - Define your tasks according to your goals and prioritize your allocation of time. This means to tackle your daily tasks in order of importance so as to create personal efficiency and team effectiveness. The POSEC method of time management is loosely based on the Maslow’s hierarchy of needs.
Organize - To provide logical and systematic structuring to the aims one hopes to achieve. Proper organization leads one to a sense of confidence and away from fear, as basic needs for survival (food, housing, raiment, etc.). Arriving on time for engagements, completing regular work responsibilities, and proper arrangement of one’s desk and other tools are also other areas where organizational skills have positive effect.
Streamline - Streamlining is generally used in reference to daily tasks that one is not always eager to do, but must nevertheless be completed. Dishwashing, cleaning, and other household chores are examples of such tasks. Making such work simpler and faster by streamlining leads to higher efficiency and quality of work.
Economize - Economizing deals with tasks that are absolutely necessary to accomplish, and that you enjoy doing, but that at the same time don’t need to be accomplished urgently. Economizing can include work that is often not near the top of one’s priority list, including but not limited to participating in tasks you enjoy, enhancing personal development, learning new skills, etc.
Contribute- Contribution can be done by paying attention to those tasks whose measure of benefit may not be evident immediately, but make a difference in the long run. These contributions to humanity as acts such as kindness and thoughtfulness, among others. According to Maslow’s understanding of the motivation, contribution involves the social setting where one gives back to the world, thereby making your goals more attainable.

How many times have you experienced the following?
You begin working on creating web traffic or writing that article you have been putting off for too long. You get started, but abandon the job the first time something else grabs your attention. You ditch the job you had started, and joyfully dive into the new distraction, trying to prove you are moving forward with your work.
This interference is in all likelihood more entertaining than your necessary priority. You will do the interfering activity, but your time management has been set back tremendously. Your competence and yield could not become more unfavorable. You can accomplish a whole lot more. The more time you stay away from your necessary activities the more problems you will have trying to restart. This makes most of us begin to search for more interferences immediately.
Does this describe your work habits? If it does and you work in a traditional office environment you probably have a boss showing you the error of your ways. If this is how you handle tasks in your home-office-style business you are likely to lose dollars quickly. NOBODY will take you to the right path. Your family & friends are the biggest source of distractions! They are prime distractions, whispering comforting words: “Spend time with us, work can wait,” or “We’re important too.” These distractions can pull you away from legitimate priorities that will build your success. YOU need to make the change towards efficiency yourself.
The rules of time management apply universally and are based on common-sense principles. Whether you work from home, or work for a corporation managing other people. Distractions are found everywhere: at home it can be friends and family, while at work it can be co-workers and employees.
To begin your way to productivity, there are two rules you have to follow. They are:
1. Handle Tasks Once
2. Most Important First
You have read blogs, web sites, time management books by organizational gurus. Did you implement the system? How long did you keep the system in place? If distracting tasks describe your work habits, the answer must be “No.” You have read about the delegation of tasks, organizing your To-Do List, and setting priorities but…
You can develop the tools and habits to better utilize your free time by exerting just a little more effort in reading and practicing. To illustrate my point in this time management piece I will examine two logical beginning points that anyone can incorporate into his or her daily routine.
It is very easy to follow the simple rule that if you start a particular task, finish it. Do not give room for any distraction and push it on your To-Do list and focus on the priority job till you finish it. You waste your time if you start giving importance to those distractions. If you allow these kind of distractions, it also takes time to come AGAIN to the point you were doing and finally you lose lot of time. This is the basis of Touch it Once concept.
Part Two of Touch It Once: If you are at the end of your workday, don’t begin a task you cannot complete that day. In order for you to do a task correctly, you need to have time to get it done. Particularly if it is important. An important task you cannot complete today should be the first thing you work on the following morning. Prioritize important tasks ahead of others not considered as important.
A note about email: always use subject lines that indicate what the mail is about. Try to get your coworkers to do the same. When a thread continues for a long time with the same old subject line, it is easy to forget what the emails about. It can be difficult to find archived emails you are looking for, and an urgent matter can seem like part of an old thread. If doing this requires sending several emails in succession to the same person, that’s still a better way to work.

Making money online is only different from making money in the tangible world of bricks-and-mortar in that the technicalities are different. You could compare just about every aspect of a “real world” business to an online one, and one of the general rules of business (and life in general) is known as the 80/20 rule.
In the late 19th Century, the Italian economist Vilfredo Pareto suggested this, and it became widely known as Pareto’s principle because of Josepth Juran (who sadly died last year). Juran is mostly known as being the main evangelist for quality in all things related to business.
Pareto suggested that ROUGHLY 80% of any effects come from 20% of the causes. While he originally applied this to land ownership in Italy (20% of the people owning 80% of the land), both he and Juran realized that this could easily be applied to all things.
In Business, this rule stated two apparent things: 80% of your business will come from 20% of your customers AND, 80% of your problems will come from 20% of your customers. The interesting part about this is that It’s NOT THE SAME 20%! There IS a correlation between the two, but it’s not what you might expect; the correlation is, in fact, reversed.
The connection between these two figures is quite the opposite to what you would at first think, but on further investigation, it becomes clearer. If somebody is trading with you regularly, they know your products, they know the way you do business, they know your staff etc. In fact, they are very familiar with you company in all respects, so they RARELY have problems, and when they do, they know how to resolve them (who to call, whether they should email etc.).
The 80% of your customers who do only 20% of your business with you are NOT so familiar with your company and the way it operates, nor do they know who to call or how best to contact them. There THESE are the people from where most of your problems will arise. They may not even know how best to order from you, so are more likely to make mistakes from the outset.
The 80/20 principle is actually a VERY ROUGH guide. This is easily evidenced by the fact that the Government owns 30% of land in the U.S. and in the U.K. well over 50% is owned by the Church and Royal Family combined. The 80/20 Rule certainly doesn’t apply in these cases; so, treat the 80/20 Rule more as a GUIDELINE only.
So, with this in mind, how can this be of any help to you? Well, the first place to start is with your time. You should try to determine which (roughly) 20% of your time is the time that brings you the most rewards (monetarily that is).
Then, once you’ve figured-out what it is that you do to make most of your money, DO MORE OF IT! Those areas that take up your time but accomplish very little should, if at all possible, be either stopped altogether, allocated LESS time, or be delegated to somebody who is paid to do that kind of work.
If this simply means watching 1 hour less of Television each day, then that’s a very legitimate place to start. On AVERAGE, people in the U.S. watch about 4 hours of TV every day. If you’re not one of these, please ignore this. However, if you will honestly put yourself in this category, then cut down a little. You really won’t miss it as, let’s be honest, most Television consists of either commercials or fun (but useless) fiction.
Self analysis is a key component of applying the 80/20 Rule to improve your life. Let’s face it, we can make changes to just about everything if we choose to, but whether those changes benefit us or not is another matter altogether.
So you must make an analysis of your time, effort and other resources before you can determine exactly WHERE to make the changes that are necessary to your improved life and business.
A simple example would be this: if you eat 5 cakes a day (or ice creams or a combination of these….don’t tell me you’ve never done that!) and exercise for 5 minutes, how would your life improve if you ate only 1 cake a day and exercised for 20 minutes? Those 20 minutes of exercise can easily be what makes you feel physically good for the next 80 minutes (though in reality the effects of exercise last a LOT longer!).
This may sound like a puerile example, but consider two things; some people actually do this (or don’t exercise AT ALL) and even if you don’t do this, there is most likely something YOU do that is equally bad for you that you aren’t aware of.
I like to spend a lot of my time educating myself. Most towns have libraries and there millions of books to read………some of them are actually GOOD books with FACTS in them, though these are in the minority I’m afraid to say.
You can give yourself the equivalent of a PhD education just by reading the right kind of books regularly. Spend some of your time doing this, and a little less doing non-productive things, and it will pay you big dividends. You just need to learn to be patient in when receiving these rewards; this is known as “gratification delay” by many psychologists.
On a final note, AUTOMATE as many things as possible, even if this means initially spending more time setting these things up. Do something ONCE whenever possible so that you can reap the rewards of this work for years to come.
The right software on your computer can make your life a lot easier (once you’ve learned how to use it, which would count as doing something ONCE) and automating tasks can free-up many hours that you can spend on being more creative in your business, and indeed, in your home life.

Punctuality is a real sign of discipline, a practice we try to instill in our youth through school bells. Not being on time is a sign of disrespect to someone or to the persons you are about to meet. Even the U.S. President George Bush is also a stickler for punctuality, going too far as to lock the door during Cabinet meetings when they begin. Thinking about it, it would rather be amusing to see the door handle jiggling form the outside by a Cabinet Secretary who arrived late for the meeting. If you are late for a class, for example, you are given a “Tardy Slip” which may carry a penalty of serving in “Detention” (the school’s own version of jail).
Nevertheless, schools are trying to perform or function on a routine basis and possess an agenda to follow and comply to in order to educate and inform our youth properly. It is unimaginable for a private or public school that does not operate according to such situation. I can still recall my friend Timmy is a real stickler for punctuality because she always exerts effort to keep her appointments and try to arrive on time if not a little earlier. Most of her friends (myself included) always joke about it and we actually nicknamed her “Timmy Time” because she habitually shows up quite earlier than just about anybody else does.
One thing that really pisses her off (and clenches her teeth) is when somebody is late for an appointment. And I remembered a funny incident she told us about her experience when she went fuming about “Doctor’s Offices” not too long ago. Anyway, it even drives her nuts when a person is not only late, but is even unapologetic for being late. When she was still managing a highly critical project on Information Technology, she will start the day with a status meeting with her team of programmers at exactly 8:30 in the morning. Someone would inevitably show up a few minutes later thereby, holding up and delaying the meeting.
Being a huge baseball fan, she would reprimand the programmers by saying, “Do baseball players show up at game time itself? No, they arrive earlier than that to warm-up, stretch and practice a little.” (As a matter of fact, if baseball players are late, they are fined). Later, to overcome this problem, my friend Timmy just changed the start of the meetings to 8:00 am (“Timmy Time”) thereby compelling the programmers to show up earlier so they could promptly and properly complete and finish their work. It is quite sad that we have to resort to such tactics just to get people to arrive on time.
We can also scold people for being late, let them go or fine them, but sometimes it can be a nuisance that people lack consideration and discipline for keeping an appointment. Perhaps we need to institute some school bells even in the offices and pass out “Tardy Slips”. Maybe it could be effective.

The absolute BIGGEST challenge that entrepreneurs, artists, authors and other creative geniuses that come to me for help is productivity. Some know they need help with time management techniques. Others are struggling but they haven’t discovered that poor time management is the source of their frustration.
By asking a few questions, I zero in on the source of their misery, and evaluate whether they can benefit from the special time management techniques I teach. I just look for certain things they have in common.
4 Things All Entrepreneurs, Authors and Other Creative Geniuses That Need Time Management Help Have in Common:
- They are amazingly creative yet they feel like underachievers because even though they generate brilliant ideas with jaw-dropping ease, they struggle to
act on them.
- These “live-wire” geniuses are adventurous, ambitious and energetic. They’ll start a hundred projects, but then bog down because of indecision, procrastination or a feeling of overwhelm.
- They search relentlessly for new time management tips and try anything to improve their time management skills regardless of past struggles, but standard, “common sense” time management techniques just don’t work.
- Despite their best efforts, they’ve accumulated a never-ending To Do list (I call it their To Do “book”) and they’re frustrated with time management techniques that don’t work.

See, you have to understand that your productivity depends on your mental and physical energy. Yes, you produce less when you’re tired, but your energy levels fluctuate far more than you realize.
How Your Energy Levels Affect Your Productivity
- At times, you have ample mental energy. You can laser-focus on anything that interests you, you’re amazingly productive, and you keep going long after other people are exhausted.
- Other times, you have plenty of physical energy, but your brain is also racing. You can’t concentrate. You’re eager to move and go through short (physical) tasks with ease.
- You need time to recharge. Your brain isn’t a plough-horse, plodding sedately. It’s a racehorse, capable of stunning bursts of power and speed. Like a racehorse, you must recharge between races.
- You also have your own unique energy fluctuations between these that create periods when you’re better at some tasks than you are at others.
Your energy fluctuations follow an identifiable pattern. When my clients track their energy level fluctuations at work and at play, within a week they have an accurate map of their daily energy levels, and the pattern repeats almost identically from week to week.
As a creative genius, you’ll always have many tasks on your To Do list! You effortlessly think up cool things to do or important things you should do. But you have to commit to do those tasks at a specific time by moving them from your To Do list to your agenda. Unfortunately, the large, unstructured space of your blank agenda often leads to indecisiveness and procrastination. Think of it as writer’s block for time management.
